## What food fits your seminar break?

A programme break is not entirely eating time. Guests leave the room, collect drinks, find a place and perhaps have a conversation. Plan backwards from the next session, allowing for transitions. The five, twenty and forty-five-minute windows below are comparison examples, not fixed rules for every event.

### What you will take away

- Include walking and returning when planning the break.
- Match the selection to the time genuinely available for eating.
- Separate drink flows and assign responsibility for replenishment.

### Five minutes: a brief interruption

With a very short window, first ask whether shared food service belongs in the break at all. Prepared drinks and an easy-to-collect bite may fit the plan. An extensive buffet involving several choices requires a different allowance. Remember that some people need the interval for reasons other than refreshments.

Consider a small pastry or savoury bite, with ingredients and serving agreed. Avoid routing everyone past every station. Water should be directly accessible. Check whether the venue permits drinks in the seminar room.

### Twenty minutes: choice without unnecessary detours

In this comparison window, a small, clearly presented selection may be useful: open sandwiches, a plant-based option and something sweet, for example. What matters is not how many dishes can be displayed but how clearly serving works. Place labels and ingredient information where people make their choices.

Check the route from the seminar room to refreshments and back. If several groups break together, account for their shared access. The sample below deliberately reserves time for returning. Adapt it to the room, attendance and format; twenty minutes does not guarantee a particular level of food service.

- Minutes 0–3: leave the room and reach refreshments.
- Minutes 3–8: choose food and collect drinks.
- Minutes 8–16: eat and have a brief conversation.
- Minutes 16–20: return tableware and rejoin the seminar.

### Forty-five minutes: make space for a meal

A longer window opens the possibility of planning a full meal. A warm vegetable dish with a substantial accompaniment and another agreed main could form the starting discussion. Whether a buffet, prepared portions or table service suits best depends on the room and programme. Choosing, eating and returning still share the same interval.

Decide whether the break is for conversation or another presentation: combining them reduces free eating time. Give a clear restart time without repeated announcements. Account for guests needing longer to reach refreshments or choose food.

### Give coffee and water their own routes

Mark drinks, food and tableware return on a simple room plan. If water can only be reached beyond coffee service, people who do not want coffee may still have to wait. A separate position can help if space allows and the venue agrees the routes.

Walk through the position of cups, milk options, sugar and used tableware. Placing every accessory at the slowest point can add to congestion. Agree who checks supplies and replenishes them. Work out station and staffing needs from the actual arrangement rather than applying a universal staff-to-guest ratio.

### Plan for the next session too

After the break, decide what happens to used items and remaining service. Will everything be cleared, or will a staffed drinks point continue? Coordinate noise and transport routes with the next talk. For parallel seminars, specify which group is served when and who reports any change to the break time.

Send Delta Catering the programme, breaks, room changes, attendance and dietary requirements at office@deltacatering.at. Add available facilities and required help. This supports an individual brief, addressing short windows through focused selection and practical organisation.

### Questions about this topic

**Are five minutes enough for coffee and food?**

That cannot be promised without knowing the room and arrangement. The short window is a comparison example. Check routes and service; a small refreshment may be the suitable scope.

**How many coffee stations are needed?**

Attendance alone does not answer that. Simultaneous breaks, equipment, operation and layout affect the flow. Agree the arrangement for the actual event.

**What matters when a break moves at short notice?**

One named person should tell the caterer the revised time. Agree directly how serving can change, taking parallel groups and the remaining programme into account.
